Matching more than one transaction to the same trip

Has your customer split their payment for a trip over two or more wire transfers? You can match any number of transactions to the same payment request and trip, to make sure all transactions are accounted for and there is transparency in how the trip was paid for.

Let’s first look at a scenario where your customer sends you two or more wire transfers to pay the same payment request.

When you open the first transaction in Paynode, you might not get any relevant suggestions of matching payment requests. The suggestions look at the amount requested in each payment request and compares that with the amount of the transaction you received. So, here’s what you do:

Go to the Incoming Payments page.
Locate the payment request you want to match the transactions to.
Copy the ID of that payment request, and return to your transaction.
Select “Manually Match Funds” and then select payment request as the record type.
Paste in the payment request ID as the reference.
Confirm the match. The matched funds will now be linked to the payment request you selected.
Move on to the next transaction.
- If the amount of this transaction matches the outstanding amount on the payment request, it will now appear as a suggested match that you can confirm with a single click.
- Otherwise, repeat steps 4-6 to manually match the transaction.
If any transactions remain to be matched to your payment request, repeat step 7.
When your last transaction is matched to the payment request, you’re done! 🎉

Next, let’s look at a different scenario. If you have sent out two or more payment requests for the same trip (e.g. one for the flight cost and one for post-flight charges) and receive one transaction for each, here’s what you do:

For the first transaction, Paynode will compare against open payment requests for similar amounts. Confirm the correct match, and the paid amount and payment status will update for that payment request.
Repeat for each other transaction belonging to a payment request on the same trip.
When all transactions are matched to their respective payment requests, you will be able to see the updated statuses of those payment requests on your trip. Now you’re done! 🎉

Multiple suggested matches for card payout

If you have received multiple card payments of the same amount within a few days, Paynode will find more than one possible match among the card payments and payment requests.

Start with the earliest transaction. This will have the fewest suggested matches, as Paynode always looks for matches among card payments that were paid out within the last 5 days.
You can confirm any of the suggested matches.
Work your way up the remaining transaction. Match each transaction to one of the suggested card payments that has not yet been matched with another transaction.
Ensure all transactions and all card payments have exactly one match. Now you’re done! 🎉

Has your customer sent you payment for more than one trip in the same wire transfer? You can manually match the funds, to make sure the correct amount is allocated to each trip.

When you open the transaction in Paynode, you might not get any relevant suggestions of matching payment requests. The suggestions look at the amount requested in each payment request and compares that with the amount of the transaction you received. So, here’s what you do:

Go to the Incoming Payments page.
Locate the first payment request you want to allocate some of the funds with.
Copy the ID of that payment request, and return to your transaction.
Select “Manually Match Funds” and then select payment request as the record type.
Paste in the payment request ID as the reference.
Adjust the amount of funds you want to allocate to the payment request.
Confirm the match. The matched funds will now be linked to the payment request you selected, and the amount of funds remaining to match will be updated.
If the remaining amount of the transaction is close to any open payment requests, these will now show up among the suggested matches.
- To match the remaining funds to one of the suggestions, just select “Confirm Match” for that selection. Now you have matched the full transaction! 🎉
If you need to split the remaining amount even further, repeat the process of manually matching the funds, until the remaining funds can be matched to a payment request in the updated list of suggestions. Then you’re done! 🎉

Once you are done allocating the funds of your transaction to all the trips it paid for, you will be able to see all of those references on the transaction, along with the amount allocated to each trip. All matched payment requests will be updated with the allocated amounts.

If you did not use a Paynode payment requests to collect a wire transfer, you can still match the transaction directly to a trip, or a quote/invoice related to a trip. Here’s how:

On the Transactions page in Paynode, select the transaction you want to match.
Select “Manually Match Funds” and then select trip, quote, or invoice as the record type you want to match the transaction with.
Copy the trip reference, quote number, or invoice number as the reference. Paste it into the record ID field.
Confirm the match. Now you’re done! 🎉
You will now see the reference to your trip/quote/invoice on the transaction.

1. Select “Manually Match Funds” to get started.

2. Select the type of record you want to match your transaction with. In this case, we are selecting a Schedaero quote.

3. Paste in the reference to the record. In this case, the Schedaero quote number. Save the match.

4. The transaction is now matched with the quote reference. Please note: this will only be visible on the transaction, not the quote.

Please note these limitations in matching transactions to trips without going through a payment request:

The reference to the trip/quote/invoice will be visible on the transaction, but no reference to the transaction will be visible on the trip/quote/invoice.
This does not update any payment status on the trip/quote/invoice.
This does not trigger any payment notifications for the trip/quote/invoice.
No further information about the trip/quote/invoice will be displayed on the matched transaction, such as customer or itinerary.
Paynode will not be able to check for active holds related to the trip.

Instant Payment transactions are automatically matched to trips

When another Paynode member pays you through an Instant Payment, Paynode automatically matches the transaction to the correct payment request and the trip it is connected to.

When you get the notification to confirm the received payment, it may take a minute before you see the link to the payment request and reference to the trip on the transaction, but it will appear automatically after a little while.

You can sit back and just let Paynode do the work here! 🎉

Most card payouts are automatically matched to trips

Has your customer paid for a trip by card? The net amount of that payment will be paid out to your Paynode account as a wire transfer. Paynode helps you match that transaction to the card payment on the payment request, to create transparency between your trip, the card payment and the paid out funds that came into your Paynode account.

The card payout comes into your Paynode account.
Paynode will find the payment request containing the matching card payment, and automatically match the transaction to that card payment.
Meanwhile, you will receive a notification per email, letting you know the transaction hit your account.
If you follow the link in the notification email, you will be able to see view the matched transaction in Paynode.

1. You will be notified when the card payout hits your Paynode account.

2. Paynode has auto-matched your card payout to the correct payment request and trip.

Some card payouts will not be automatically matched

If you have two or more card payments that were paid out to your account at the same time and in the same net amount, Paynode will ask you to review and confirm the matches, instead of matching these transactions automatically. Please see the section “Multiple suggested matches for card payout”.

Paynode helps you match incoming wire transfers to the correct trips and customers, so you can achieve full transparency in your payments.

When you collect payment through Paynode payment requests connected to your trips, you get the most value out of matching your incoming wire transfer payments. Here’s how Paynode can create a smooth and transparent payments workflow for you:

Create a payment request from your trip and share the link with your customer. Ensure wire transfer is included as a payment option.
Your customer sends a wire transfer payment that arrives in your Paynode account. Follow the link in the notification email you get, to view the transaction in Paynode and match it to the correct trip.
Paynode will look at the transaction you received and compare against your open payment requests, to find likely matches for the payment. You can compare the suggested matches to the transaction details, and confirm the correct match. Now you’re done! 🎉

Once you have confirmed the match, Paynode will handle the rest. The wire transfer will be added to the payment request, the status of the payment request will be updated, and a notification will be sent to everyone who is subscribed to updates for that payment request.

1. The seller is notified that a wire has come in and can be matched

2. The seller reviews suggestions in Paynode and confirms one to match with the transaction.

3. When the match is confirmed, Paynode will check for card holds on the payment request, and ask if they should be released.

4. The transaction is fully matched with the payment request. The seller can open the payment request in a new tab.

5. The matched payment request has been updated and links back to the transaction.

6. Users subscribed to the payment request are notified that it has been paid.

7. The buyer is notified that the card hold has been canceled.

8. The payment status will also be visible in the checklist for a scheduled trip.

Help to cancel card holds on matched payment requests

When the match is confirmed, Paynode will check if there is an active card hold on the payment request your transaction was matched with. If there is a hold:

While you are still looking at the matched transaction, Paynode will show you the active hold, and ask if you want to cancel it or keep it.
Select “Cancel Hold” and Paynode will cancel the hold.
The hold will be displayed as canceled on the payment request.
Your customer will receive a notification that the hold is canceled and the funds released back to them.

Payment status updated across the platform

If you are managing the trip in Schedaero, Trip Manager, or Avinode Marketplace, the payment status will be updated there as well.

Viewing your transactions

1. Filtering transactions

You can filter the list of transactions by using the filters above the list.

When you open the page, no filters are applied. This means that you will see all your transactions. You can then apply filters to only show certain transactions:

Use the Currency Account filter to only show transactions of selected currencies.
Use the From and To date filters to show transactions after, before or between certain dates. Please note that these filters use the UTC time zone.
Use the Unmatched filter to only show transactions that are not yet fully matched.
Use the Credit and Debit filters to only show incoming or outgoing transactions.

Account permissions needed

To be able to view both credit and debit transactions, you need the View level of the Financial Data account permission.
If you only need to view credit transactions, it’s enough to have the View level of the Incoming Transactions account permission.

2. Transaction reports

You will still find transaction reports on the Accounts page, under the Finance tab. None of the reports, however, contain the matching data yet.
