Overview

With our eSecure Flight export tool, you can now avoid manual double entry of passenger data in both Schedaero and eSecure Flight and can export flight and passenger data from Schedaero to import into the eSF portal. Required passenger data for export to be available: First Name, Last Name, DOB, Gender 

We are also adding a manual passenger status selection per passenger/flight so that the status of each passenger can be communicated company-wide and to the iOS Crew App! 

We will not remove our existing Watchlist vetting until after June 22nd. So if the eSF export solution is turned on before June 22nd, you won’t lose existing and still approved functionality.

Exporting Flight and Passenger Data

Navigate to Trips > Scheduled Trips and select a trip to edit. Once on the Trip Overview page, you will see a new section called Passenger Vetting. To the right of each flight leg, you will see an export button, allowing you to export a passenger list for each leg that is compatible to import into eSecure Flight.

If a scheduled flight uses an airport with only an ICAO identifier, we automatically use the closest IATA airport identifier.

Setting Passenger Status

Once you have imported the passenger list to eSecure Flight and have gotten a status for each passenger, you can then go back into the trip in Schedaero and set the status. This status will then sync with the Crew App for your Pilots and Crew.

There are two ways to get to the Secure Flight Status Details:

On the Trips Overview page, you can use the details button next to the export button to pull up the Secure Flight Status Details:

Another option is to go to a trips Crew & Passengers tab and select the View Secure Flight Status Button:

Using either of these options will pull up the Secure Flight Status Detail popup, from here you can set a passengers status and if they are checked in for each leg:

When a flight status is set, it will automatically sync so that your pilots and crew can see the status within the Schedaero Crew App:

If required passenger data is missing for the export, there will be a warning and no export button will be present:

 

 

 

Prior to submitting an eAPIS please ensure the eAPIS feature is turned on in your account and the U.S. Charter eAPIS Submission set up has been finalized.

We highly recommend the following information has been inputted prior to submitting an eAPIS in the system:

Aircraft

The Aircraft Basics which can be updated from the aircraft profile.

Crew

The Crew-member user profile must be completed with the crew Documents & Addresses. Such as the crew-member's Passport, Permanent address and Pilot license.

This can be added from the Pilot user page on the Documents & Addresses tab.

Passengers

Passport: information can be added from the Passenger details tab. Select the passenger to pull up the Quick contact edit window to enter the passport information.

eAPIS Submission

To start an eAPIS submission for a trip,

1. Go to the scheduled trip page, select the eAPIS tab, and click on "Create submission."

2. On the create eAPIS submission window, the user must select the following:

Manifest type: Private (Part 91 trip) or Charter (Part 135 trip)

For Flight: Select the trip leg the submission is for

Depart/Arrive: The system will automatically update this based on the trip leg selected.

Once these items have been selected, click on "Create" and now the user will be able to add in the eAPIS information.

3. Continue to add the required information to the submission page. When finalized, the user must click on the Validate button for the system to run a check to advise of any missing information.

Passengers Name: The system will ask the user to re-enter the passenger name to re-verify it's been correctly inputted. *Please enter the passenger middle name if it's on their passport*

Address while in US: Required for only Part 91 submissions.

4. Click on the Preview & Submit button to review the submission then Submit.

Submission receipts

For Charter Submissions: Once the submission has been sent, the system will update on the status of the submission from Pending to a Confirmation number for both Crew and Passengers. The charter confirmation email will receive emails from CBP with the submission receipts. Once the confirmation numbers have been received from CBP, the system will automatically update to reflect on the submission page and crew trip sheet.

For Part 91 Submissions: CBP will send a submission confirmation email for Part 91 trips. However, it will not include a confirmation number as it is not required.
