Manage your aircraft availability when you have an integrated FMS schedule

We know things change fast in charter operations. That’s why we’ve made it easier to stay flexible without breaking your workflow. With Availability Manager, you can make quick schedule updates directly inside Avinode without needing to access your FMS.

Mark aircraft as unavailable for as long as you need

Mark's aircraft is unavailable for as long as you need. Unlimited flexibility over crew restrictions, aircraft owner's holds, and maintenance.

1. Go to Schedule → Availability Manager

2. This will open a window displaying the information below. Click on Mark as unavailable and update the time period where your aircraft should not be visible in the Search.

Promote Takeoff Ready

Availability Manager

Go to Schedule → Availability Manager

 

To Mark as unavailable

1. Click a time slot for the aircraft you wish to mark as unavailable. This will open a window displaying the information below.

2. Click on Mark as unavailable and update the time period where your aircraft should not be visible in the Search.

3. Click on the blue Mark as Unavailable button at the bottom of the box.

4. Your aircraft is now blocked from getting requests during that time period.

Once you click the "Mark as Unavailable" button, the box will close, and you will be returned to the overview of your fleet in the Availability Manager. You will see that your "Mark as Unavailable" slot now has a red color.

Note! This overrides your integrated schedule. Any updates made in the Availability Manager must be handled within Avinode.

You can edit or remove your unavailability at any time.

We have updated the design of our Quotes & Requests page! You can now easily manage and prioritize specific quotes and requests using our new filtering options. This feature provides real-time insights, allowing you to prioritize your opportunities and increase your chances of winning more trips!

 

You can filter by the following options:

• Only NEW Requests
• Itinerary Date Range: You can either automatically or manually input the start and end dates- (Time is based on your user profile's timezone)
• Customer
• Aircraft: Returns results based on the quoted aircraft, not by generic type or category.
• Quote
• Trip Status: Only active statuses will be shown.
• Salesperson: Only active statuses will be shown.
• Originated

It is important to note that if you want to filter by multiple criteria, you should do so by combining multiple filters at once.

 

Where did the search bar go?

To make it faster and easier to jump into a quote or trip we've moved the search box into the navigation bar. Now you can find what you need from anywhere in Trip Manager or Schedaero without needing to go to the Quotes page first!

 

 

This article will be able to break down some of the differences as well as some basic "How-To's" to be able to utilize the schedule today. The first part of the guide provides examples of how your schedule will look if your schedule is set to Integrated (i.e. schedule is sent to Avinode from an external software).

If your aircraft is on schedule Manual, you will find information on how to add and/or edit activities in your schedule. 

 

This is an example of what your schedule may look like when you have scheduled different activity types, e.g. trips, maintenance or empty leg.

How to Navigate Your Schedule Dates

You are able to view your schedule in 4 time spans - By day, week, 2 weeks or 1 month.

When you are in time spans larger than 1 day you can quickly zoom in on one particular day by clicking the day itself as show below.

You can then quickly go back to your original view span by clicking the "go back" button located at the top of schedule

 

Avinode Interpretation

Another great feature of the schedule is the Avinode Interpretation checkbox. This will transform the way you view the schedule to how Avinode Marketplace is interpreting the location of your aircraft for buyers in the market. To turn this on or/off just simply select the checkbox. Its a great way to ensure your schedule is working the way it is intended too.

How to add a Daily Note

You are able to add a Daily Note to your aircraft on the schedule so you can make note of anything you need to for that day.

1. You just need to click into the blank space adjacent to the tail you want to add the note to and select "Daily notes"

 

2. Then you will enter whichever pertinent information you need to add and then click "Save".

3. Your note will now be visible with an indicator and when you hover over it you will see the note appear.

 

 

Manual Scheduling

 

Note: The following instructions are only for those utilizing a Manual schedule:

 

How to add a Trip Note

1. You can add a note specific to the trip activity simply by clicking on the trip and selecting "Edit/Delete"

2. Then select the notepad icon and a note section will appear. Add whatever note you need to and then select "Save".

 

3. You will then be able to see this note when quickly hovering over the trip.

How to add an activity

1. It's easy to add an activity just simply click into the blank space of your aircrafts schedule and select "New".

 

 

2. Then be sure to enter all the necessary information including selecting what "Trip Type" this activity is. Please add a "Trip Name" when creating a trip in the upper left hand corner to give more detail on the trip. For Non-Trip activities this is not necessary.

 

3. Once complete, click on "Save" and your trip will now be placed on your schedule.

 

 

How to add a full day activity

It's easy to add a full day activity with the new schedule. This is because it will always default to the full day when you click into an empty day on the schedule.

1. First as always click into the space and select "New".

 

2. Then as you will see the time is automatically defaulting to fill the entire day from 00:00 to 23:59. So you can add your trip type for this blocked off time and click save.

 

How to Delete any activity on your schedule

 

1. Click into the trip that you want to delete and select "Edit/Delete"

 

2. Within the trip you need to select the red "Delete" button.

 

3. This will then produce a pop-up that will ask you to confirm you want to delete this activity off of your schedule. Once you click "confirm" the activity will be removed from your schedule.

Do you need to sell short-term availability to ensure you maximize uptime for your aircraft? You can use our popular feature, Takeoff Ready, to promote your aircraft as ready to fly within the next 96 hours.

When we say an aircraft is Takeoff Ready, we mean it should be ready for takeoff. You have an available aircraft, you don't need (or already have) owner's approval, and you have a crew standing by. Buyers with urgent needs will use the Takeoff Ready filter in search results to find aircraft guaranteed to be available.

Note that if your aircraft is available in the schedule, it will still appear in the search result, but it won’t be highlighted as Takeoff Ready unless you mark it as such.

Please see the steps below to promote your aircraft as Takeoff Ready:

There are two options: 

• You have a manual schedule

• You have an integrated FMS schedule

Manual Schedule 

Go to Trips → Selling

 

In the right corner, click Availability Manager.

Here you will see an overview of your fleet and the status of your aircraft for the next 96 hours. You can only promote your Takeoff Ready availability up until 96 hours on your schedule gaps. 
 

 

Integrated FMS Schedule

Go to Schedule → Availability Manager

 

Here you will see an overview of your fleet and the status of your aircraft for the next 96 hours.  You can only promote your Takeoff Ready availability up until 96 hours on your schedule gaps.

 

Promoting Takeoff Ready

Hovering over any free time slot (White space) will mark it blue. 

 

1. Click on the slot when it is blue, and a pop-up window will appear (shown below).

2. Apply the time frame that you wish to promote here.

3. If you have a High Time crew, you have the option to check the box for that.

4. Click on the blue Promote button at the bottom of the box.

5. Your time slot has now been highlighted in the search result for anyone searching for an urgent flight. 

 

Once you click the "Promote as Takeoff Ready" button, the box will close, and you will be taken back to the overview of your fleet in Takeoff Ready. You will now see that your "Takeoff Ready" slot now has a green color. For those slots that also have High Time crew available, there is an aircraft symbol with a circle around it.

 

For anyone searching for a flight within the time frame and retrieving your aircraft, they will see your aircraft marked with a green plane symbol, indicating that you are available for takeoff.

This article is intended to answer the question "How do I post an empty leg that I want to sell?".

 

Please see the step by step below:

 

1. Go to Schedule → Schedule

2. Find the aircraft in the list on the left side of the schedule. Click on the day you wish to add the empty leg on and select "New".

3. You need to start by naming the activity. Activity type, chose Empty leg. The difference between an Empty leg and a Ferry leg is that the latter will not be marketed as a possible empty leg match or listed in our Empty legs section. The aircraft is only considered available but you will still have the visibility on when the ferry leg will take place. Add the start date of the Empty leg. If no end date is applied, we will automatically calculate the flight time bases on the performance profile we have for the aircraft. Add 0 passengers and click save. Your Empty leg is now marketed! 

 

Overview

This article explains how to create a new schedule activity type for manually updated schedules in Avinode, how to switch a tail from manual to integrated scheduling, and how to manage activity type mapping when your schedule is updated by an FMS integration. You will also find explanations of all Avinode Equivalents and how the Default Type works.

For manually updated schedules

To add a new schedule activity in Avinode, you first need to create an Activity Type. This is done on the Schedule → Activity Types page in Avinode.

1. Enter the name of your new activity type.

2. Select the Avinode Equivalent from the drop-down list. You can review the explanations of each equivalent in the section below.

3. Select a display color using the color picker or by entering a HEX code. The color will automatically appear in the Display Color field.

4. If you have multiple activity types mapped to the same Avinode Equivalent, choose which one should be the Default Type by selecting the Default Type checkbox.

5. Click Save.

Switching a tail from manual to an integrated schedule

If your aircraft schedule will be managed by your FMS integration, the schedule setting for that tail must be changed from manual to integrated. This change can only be made by Avinode Support, so you will need to contact us and request it.

Please note: When a tail is switched from manual to integrated, all existing schedule data for that aircraft in Avinode is cleared in preparation for the incoming data from your FMS. Therefore, please ensure that you have a backup of your schedule elsewhere before requesting the change.

For integrated schedules

Once your FMS integration is connected to Avinode and starts sending schedule data, you need to map the activity types from your FMS to their correct Avinode Equivalent.

This mapping is an essential step. It allows Avinode to correctly interpret your schedule, understand when your aircraft is available or occupied, and identify empty leg opportunities for marketing in the Avinode Marketplace.

The first time your schedule data is received, all activities will be interpreted as Occupied by default. You should therefore review and update the mappings as soon as your integration is active so that Avinode reads your schedule correctly.

In the Schedule -> Activity Types view:

• The first column shows the activity types sent by your FMS.

• The second column displays the color used in the Avinode Schedule.

• The third column, Avinode Equivalent, determines how Avinode interprets that activity.

To update the mapping:

1. Click the activity type.

2. In the Edit activity type pop-up, assign the correct Avinode Equivalent.

3. If needed, set the activity as the Default Type for that equivalent. Only one Default Type can exist per Avinode Equivalent.

4. Click Save.

Please note: changes to mappings only take effect after Avinode receives the next schedule update from your FMS.

Avinode Equivalents explained

Below is a description of each Avinode Equivalent and how Avinode interprets them.

Empty Leg Availability
Activities mapped to this type will be treated as available in Aircraft Search and will also appear in Empty Leg Search.

Ferry Availability
Activities mapped to this type will be treated as available in Aircraft Search but will not be marketed as empty legs.

Flight Occupied
Activities mapped to this type are considered occupied in Aircraft Search. Use this for all passenger-carrying flights, such as Part 135 or Part 91 operations.

Occupied
Activities mapped to this type indicate that the aircraft is occupied. Use this for non-flight occupancy, such as maintenance.

Onground Availability
Activities mapped to this type indicate that the aircraft is available while on the ground. This can be used to show transient availability when the aircraft is away from home base. Avinode will price the aircraft from the indicated location rather than from home base. Sending this type is optional.

Option Availability
This is an information-only type. Activities mapped here appear in the Schedule but do not affect aircraft positioning or availability. Useful for unconfirmed trips or optional holds.

Default Type explained

The Default Type is the primary activity Avinode uses when several FMS activity types map to the same Avinode Equivalent. It tells Avinode which one to prioritise so your schedule is interpreted consistently. Only one Default Type can be assigned per Avinode Equivalent, which prevents conflicting interpretations and ensures correct availability behaviour in the Marketplace.

If you only have the option to add "Daily notes" it means you have set your aircraft schedule to "Integration" mode. Unfortunately you cannot edit the schedule manually when you have your aircraft on an automatic integrated schedule. If you need to make changes to the schedule you need to post them in your scheduling software and the changes will be reflected in Avinode after that.

Need to block aircraft availability in Avinode due to maintenance? You have two options;

1. Update your schedule in your FMS system and push it over to Avinode, see below.

2. Use Availability Manager to override your integrated schedule and mark aircraft as unavailable for any time period.

Step 1: Add the MX event in your Fleet Management system. 

Please note you will need to add a schedule event that pushes over to Avinode. For example, adding an internal OTHER in your Fleet Management system does not mean this will push over to Avinode.  In most instances the Operator needs to select an occupied event to push to Avinode correctly. 

 

Step 2: Check this information pushed over to Avinode. The operator can view if the update was successful by going to Avinode and selecting the Schedule tab.   

Please note that the time it takes for information to push over depends on your Fleet Management system. Some systems send us the data immediately, some take 2-24 hours.  Please keep checking the Avinode Schedule tab. 

A common setup for Operators is to connect their schedule availability to Avinode via their Fleet Management system. Please see below a few companies that have a integration with Avinode:

• Schedaero
• FOS
• LEON

If the Operator wants to update the location for their aircraft for a specific time frame the best way to market this availability is by adding a trip in your Fleet Management system. For example, if the aircraft is on a 91 Trip to TEB on Monday and then coming back to OPF on Friday the operator needs to add the trip and this will push to Avinode. 

 

Step 1: Add a trip in your Fleet Management system moving the aircraft to the transient location. 

 

Step 2: Check this information pushed over to Avinode. The operator can view if the update was successful by going to Avinode and selecting the Schedule tab.   

Please note how quickly the information pushes over depends on your Fleet Management system. Some systems send us the data immediately.. some take 2-24 hours.  Please keep checking the Avinode Schedule tab. 

 

 

Step 3: Run sample searches during time frame of transient location. 

 

Please note that this article applies to manual schedules. If you have a schedule integration between Avinode and your FMS system, please create flight activities via your FMS.

If you have a manual schedule, follow the steps below to create a new flight activity:

When you go to the Schedule → Schedule tab in Avinode, you will get the below.

 

You can select the schedules for individual aircraft via the dropdown box titled "Fleet". 

Create a Schedule Activity

All editing is done by left-clicking on the day and aircraft you wish to edit.
To create a new trip or activity, select the right aircraft and date, and click New

After clicking "New" you will then be taken to the page where you can add a schedule activity (Seen in the screenshot below)

• Scheduled Trip: Give the trip a display name. This can only be seen internally by your organization.

• Aircraft: The aircraft is selected based on your choice from the overview. If you want to change the aircraft, please use the drop-down menu.

• Activity Type: Choose the appropriate activity from the drop-down. These activity types displayed in the image are the default selection, but you can add more or edit the existing ones. Choosing the Activity type Empty leg will automatically market your empty leg in the Avinode search. Read more about how to create a new Activity Type here.

• Activity Start Date/Time: Start date is based on your choice from the Calendar View. To change the date: write the date directly into the date field or click on the calendar view on the right.

• Activity End Date/Time: You can leave blank in this case the system will calculate the end time and date for you once you hit the “Enter” key. Or you can put the end time manually.

• From & To: The departure and arrival airport of your trip.

• Passengers: Enter the number of passengers (“0” in the case of a “Maintenance”, “Empty Leg” or “Ferry” activity).

If you want to add an additional leg in the same Trip (either below or above), you can use the “Add line” buttons located to the right.
