Why use online booking?

Getting Started

1. Check your email - You will receive an email from the seller with the quote and a link to review and request to book.
   
   
   
   
2. Click “View Quotes & Request to Book”
3. Go through the Authentication Process:
   
   
   
   
   • Enter the email where you received the quote.
   • You will receive an email with the security code.
     
     
     
     
   • Select “Access Trip” and proceed.
   • Note: Authentication is a security measure to keep your trip information safe and guarantee that only specified users can access your online booking portal. It also ensures that the digital signature is legal and binding
     
     
4. Request to book - Select “Request to Book” on the aircraft option you prefer. This will send a notice to the seller so they can review your request.
   
   
   
   
5. Sign the contract - Once you’ve requested an aircraft, the corresponding contract will either be available at the time of your request or an email will be sent to you with a link back to the portal when the contract is ready to sign.
   
   Enter your name and select sign, this will lead you to Dropbox Sign where you can complete the digital signature.
   
   
   
   
   
6. Check your email - When the seller is ready you will receive an email requesting payment.
   
   
   
   
7. Pay for the trip -  Click “Proceed to Payment Details” to pay.
   
   
   
   
   • Depending on the seller’s instructions you may be led to select the credit card option and enter your credit card details. This will authorize the seller to place a temporary hold on your card.
   • Once you’ve added your card, you can return to payment details to access the seller’s wire information. These instructions may vary from seller to seller, but you can always access the booking details in the online booking portal:

Avinode Member Authentication

Avinode members can use their Avinode login credentials to gain access to an online booking quote! When you click an online booking link in the quote email, you will see the option  “Access with Avinode Login.”

To be granted access to the Avinode login option, you will need to gain access in one of two ways:

• • Be the sender of the request for quote (RFQ) that the seller responds to with an online booking quote
  • Be given access to online booking by the seller after the online booking quote is sent

Access your trips through Trips > Buying

We've now made it easier for Avinode members to access the quote through Marketplace. Go to Trips > Buying and you'll see a blue globe icon next to your trip that will take you to the trip's status. If you'd like to know more you can access the detailed article here!

What are System Supported Taxes?

System Supported Taxes are line items supported and set up by Avinode Group. These taxes are calculated based on each countries specific rules for how to apply taxes, and cannot be customized.

You will find these taxes under a separate header on the Price Settings page. Click on the tax to find out more details.

The rate currency for these taxes are fixed to the Tax Country's currency. Avinode will be updating tax rates on a yearly basis to stay current, but you can also choose to update these yourself.

For United States, Avinode Group supports the following taxes and fees:

• FET

• Domestic Segment Fee

• Hawaii/Alaska Head Tax

• International Head Tax

• Immigration Fee

• Customs Fee

• APHIS Fee

These taxes are calculated by including airports in the 225 mile zone as "domestic" for US trips, and excluding rural airports from Domestic Segment fee taxation. The basis for this calculation is IRS Publication 510 (https://www.irs.gov/pub/irs-pdf/p510.pdf).

Please note that taxation of Open Jaw Trips is not supported by Avinode Group.

Italian Luxury Tax:

ILT is due to each passenger and the rate is based on the distance between point of origin to final destination for flights to, from and within Italy. The two higher distance bands are supported by Avinode Group.

• 10 EUR per PAX if distance is less than 100 km (NOT currently supported in Avinode / Schedaero)

• 100 EUR per PAX if distance is more than 100 km but less than 1500 km

• 200 EUR per PAX if distance is greater than 1500 km

(The distance calculations is referenced to the great circle track + 95 km)

How do I apply these taxes to my quotes?

1. First, you will need to setup a retail pricing profile as the Avinode system is a wholesale marketplace. Click here to learn more.

2. Next, add the tax line item to your pricing profile.

3. Remember to check your quote before sending it off!

For minor changes to your document, we recommend converting the PDF to word.

Once completed, convert this document to a PDF and re-upload. We recommend all users to keep a copy of their important documents in a word version. This will make it easier to manage moving forward.
