SCHEDAERO CREW APP: PASSENGER CHECK-IN
Cut down on paperwork and streamline communication between flight crews and ops/dispatch -- check-in passengers through the Schedaero crew app! The Schedaero web will update in real-time allowing your flight operations team to take corrective action with no-shows and provide more accurate flight updates to brokers.
Translation: no more phone calls or texts from ops asking why you haven't departed when your passengers haven't even arrived at the FBO.
CHECKING IN PASSENGERS ON THE CREW APP:
-
Navigate to the current leg of your trip.
-
Select the passenger's tab or scroll down to the passenger's section.
-
Follow the view manifest link.
-
Check-in the passenger, or mark them as a No Show.
-
When you select Check-In, you will be prompted to confirm you have checked the passenger's ID in accordance with TSA requirements.
-
Once you have Checked In (or marked No Show) for all your passengers, select back to return to the trip's main screen/itinerary.
Now that you have check-in in the passengers, Schedaero web will automatically update to help your operations team get a clear picture of where you are on the trip. On the trip's overview, they will be able to see how many passengers have checked in.
SCHEDAERO CREW APP: ADDING and EDITING PASSENGERS VIA THE APP
Note: The add and edit passengers feature must be turned on by a company admin. It is located under Company→ Settings at the very bottom of the trips tab.
Pilots can add passengers to the manifest via the crew app for Part 91 flights. Pilots can edit passenger information such as adding IDs and updating passenger weights on ALL trips. The passenger information will be stored or edited in the system and will update the manifest on the web browser.
Pilots must be operating on app version 3.0.6 or newer to be able to add or edit passengers.
ADDING PASSENGERS VIA THE APP (part 91 only):
To add a passenger via the app (starting from the home screen) select the appropriate trip leg and navigate to the "Passengers" section. Follow the "view manifest " link. Select +Pax on the top right corner of your app:
From the new passenger window, you can search for an existing passenger using the search bar at the top of the page OR add a new passenger.
Note: Schedaero will not check for duplicate customers when adding passengers from the app. It is a good habit to search the customer list before adding a new passenger to avoid creating duplicate records.
If the passenger already exists, select the customer record and assign the appropriate legs. Or follow the "Add new passenger" link to create a new customer record.
In the create passenger window, you are required to add:
-
First Name
-
Last Name
-
Assigned Legs
You have the option to also add:
-
Date of Birth
-
Gender
-
Weight
-

Once finished, save your new passenger on the top right-hand corner of the screen. Your manifest will be updated immediately so you can continue passenger check-in.
EDITING PASSENGERS VIA THE APP (all flights):
To edit a passenger (starting from the home screen) select the appropriate trip leg and navigate to the "Passengers" section. Follow the "view manifest " link. Select the EDIT link on the appropriate passenger.
The edit passenger window will populate on your app. Here you can make any changes including updating or adding passenger weights, adding IDs or addresses, etc.
Save any changes on the top right-hand corner of your screen. The passenger record in Schedaero and the trip's manifest will automatically update.
SCHEDAERO CREW APP: WEIGHT AND BALANCE
Note: Weight and Balance must be turned on by a company admin. It is located under company -- settings on the general tab in the flight logging configuration section.
Pilots can record Weight & Balance on their Crew App. The Weight and Balance record will then be tied to the corresponding flight log and saved into the system along with all your flight records. Schedaero will never delete any information or remove flight records.
NOTE: Schedaero’s weight and balance tool is for recording only. We will not calculate the weight and balance.
To record Weight and Balance (starting from the home screen) select the trip leg and navigate to the “Weight and Balance” section.
Follow the “Edit” link.
Enter your weight and balance totals as appropriate. Note: the system will trigger a warning and prevent you from submitting your weight and balance if there are any errors. Including CG computed falling outside your FWD and Aft CG Limits.
Click submit to complete your log. It will automatically sync with the web browser.
A new passenger shows up last minute? No problem! If you need to edit your weight and balance after you have submitted it, return to the form and update any values. Resubmit the log and it will override your original W/B. The system will track any changes in an audit log with time stamps.
