Send your quote emails to clients using Online Booking, allowing your customer to digitally book and pay the quoted option directly through our platform - all in one place.

1. Generate the e-mail
First, select the ‘Email’ module to start generate the email to your client. Here is where you activate the access to the Online Booking portal.

2. Make this an Online Booking Experience and use Quote as Contract
Once you select the checkbox “Make this an online booking experience”, you can also select to 'Use my quote as the signable contract in Online Booking.'
⚠️ If you wish to delete a quote option, deactivate the aircraft option under the Aircraft section on the Quotes/Requests page. Deselecting the pdf quote in the email does NOT result in that option being deleted from the available options sent to the customer in the Online Booking experience.
Once you are ready to send the quote email, click on 'Send email'.

3. Online Booking Portal and Authentication
Your client will receive an email with the 'View Quotes & Request to Book' option.
There is a mandatory authentication step before they can proceed to the Online Booking Portal. They will be prompted to verify their email address by entering a code sent to their inbox.

4. Request to Book, Sign Quote as Contract and View Payment Requests
Once the client decided on which option they want to book, they can select 'Request to Book'. This action will open up a 'Contract' and a 'Payment' element on the Online Booking Portal.
The customer can review and digitally sign the contract, using Dropbox Sign. You will get a notification about the booking and contract signed.

5. Notifications about Booking and Contract Signed
You are getting notified of a new incoming booking request in several ways:

New booking request message under trips showing up under current quotes & requests.

Tasks: a new task ('Confirm availability for Quote X via online booking') will be automatically created for you under the corresponding quote.

An email reminder will be generated and automatically sent to the sales person who created the quote.

6. Send Payment Request via Paynode
You can select 'Request Payment' on the Quote level. This will guide you to set up your Paynode link to be available in the Online Booking Portal for your client.
All you need to do is review the payment request and adjust if needed. Once done, you can go ahead and publish the request.

7. Confirm Booking
The ‘Confirm Booking' step is the final step that you need to take to go ahead with the trip in Trip Manager. The 'Confirm Booking’ button will automatically schedule the trip for you.
Selecting the ‘Confirm Booking’ option will:

Schedule the trip to allow you and/or flight ops team to start working on the trip.

Update the status to ‘Confirmed’ in your customers Online Booking view.

Prompt you to create and send a payment request via Paynode to your client (if not done at an earlier stage).
