The Crew Schedule is an easy-to-navigate tool that allows you to:

Create custom schedule event types and assign them to qualified pilots.

Track FAR 135.267 (e): "The certificate holder must provide each flight crew member at least 13 rest periods of at least 24 consecutive hours each in each calendar quarter."

Give crew members clear visibility of their scheduled events via the Schedaero Crew App.

SETTING UP YOUR CUSTOM CREW SCHEDULE EVENT TYPES:
Navigate to Company →Settings. In the general tab navigate to "Schedule Event Types"
Settings Descriptions

+ Add new option: This allows you to create a new custom event type.

Long Name: Title of the event, this will show on the crew app.

Short (4 char): Short name for the event, this will show on the Crew Schedule and in the main calendar.

Rest Period: Will signal the system to count the event types as a legal rest period (to track FAR 135.267 (e)).

NOTE: to be counted in the system as a legal rest period, schedule events need to be added as all-day events AND categorized as a rest period in schedule event type settings.

Unavailable: Will mark the crew member unavailable for scheduled trips on the Duty Dashboard.
NAVIGATING THE CREW SCHEDULE
Navigate to People→ Schedule.

Today: You will be able to bring the schedule view to the current day.

< > [Month]: This allows you to switch their view between months. The current month will show and allow for a company-specific time zone.

Crew: You will be able to see all their qualified crew members if they are qualified as PIC or SIC and their base.

Off: Shows how many 24-hour rest periods each crew member has scheduled in the calendar quarter.
NOTE: once a crew member is assigned to a trip, it will automatically show on the crew schedule.
Schedule Settings
Time Zone: Select the specific time zone for the Calendar.
Type & Color: Select a specific color to associate with your event types.
Update Types: Navigates you to the settings page to update or customize the events (see "Setting Up Custom Events").
Complete fields and save.
2. Type: Filter the schedule view by any event type(s).
3. Crew: Filter the schedule view by one or multiple crew members. There is also a search text box to find a specific crew member.
4. Aircraft: Filter by Aircraft Fleet, Type, and Type Rating. You can select more than one option.
5. View: Choose Month, Week, or a Grid view of the schedule

Month: Shows from the first day of the month to the last day of the month

Week: Shows from Sunday to Saturday

Grid: Shows the next 30 days starting at today’s date
ADDING EVENTS TO THE CREW SCHEDULE
Select "+ Event" or click on any date and crew member on the Crew Schedule.
NOTE: only users with full permissions to the Crew Schedule will be able to add or edit schedule events. Crew Schedule events cannot be added, deleted, or edited from the Crew App or from the Calendar.
Type: Select the event type from your list of custom events.
Date: Select a specific date (range) and or time.
All Day: Select if this is an all-day event.

Crew: Select the crew member(s) that the event is for

NOTE: Any note added to that specific event will show both on the calendar and for the crew member in their Crew App.
FAQ’S
Q: Is there a limit to how many Schedule Events can be added to the Crew Schedule?
A: No, the Crew Schedule is completely customizable to fit your operational needs so we do not put a limit on how many events can be added.
Q: Is there a way to generate a report that shows Crew Schedule Events?
A: Yes! The Flight Duty Rest Report is our customizable reporting tool that will allow users to create reports on their Crew Schedule Events. More information on this reporting tool can be found here Operations and Compliance Reporting
Q: Will my pilots be able to see each other’s schedules?
A: We encourage operators to give their pilots access to the Schedaero Crew App where they will only be able to view their own scheduled events and trip assignments. You are able to grant View Only permissions for Crew Scheduling that would allow them to view the Crew Schedule but not add or edit any events; however, they would be able to see the entire schedule for all your crew members.
Q: How come my pilot is not showing on the crew schedule?
A: A pilot must have qualifications added to their pilot record for them to be listed on the crew schedule. To find out how to add qualifications to your pilot’s record, please see our Academy article on Adding a Pilot
Q: I do not see the Schedule option under the People tab.
A: Users must be given the Crew Scheduling permission by their account administrator in order to have access to the Crew Schedule.
Q: How can I remove an inactive pilot from showing on the Crew Schedule?
A: Inactive pilots will continue to show on the Crew Schedule until their qualifications have been removed from their pilot record. To remove their qualifications, you will need to go into your inactive pilot's list and select the pilot you are trying to remove from the crew schedule.
Once in their pilot record, you will need to go to the qualifications tab and delete each of their qualifications.
